Youth Program Registration Information

Per the Youth Protection Policy, all Youth Programs at CU 糖心Vlog破解版 must register and obtain approval from the Office of Compliance, Ethics and Policy. There are two processes, one for Affiliated Youth Programs and another for Third-Party Youth Programs.

Affiliated Youth Program: Event, activity, program, or research, regardless of location, that is operated or sponsored (e.g., using CU 糖心Vlog破解版 branding, funding, etc.) by a university department or unit in which youth are a primary audience.

Third-Party Youth Program: An organization or individual not affiliated with CU 糖心Vlog破解版 that operates or administers a youth program.

Affiliated Youth Program Registration Process

All affiliated youth programs must follow the registration process outlined below. This process needs to be completed and approved 30 days prior to the start of the program.

The first step in registering a Affiliated Youth Program is submitting the听. This form will ask basic details about your Youth Program. It is important to use the same Program Name (Case Sensitive), and start date for all of the forms.

After submitting the CU 糖心Vlog破解版 Affiliated Youth Program Registration Form, the next step is to upload your programs documents using the听. This form will request the following Documents;

  • Staff Roster
  • Volunteer Plans, if any
  • General Liability Waiver
  • Activity Specific Waiver
  • Emergency Contact Forms
  • Caregiver / Guardian Handbook
  • Request for Accommodation of health or disability issues form
  • Code of Conduct
  • Emergency Management and Preparedness Plans
  • A document that outlines the following general operational guidelines and protocols
    • Daily Sign-in / Sign-out procedure
    • Procedure to ensure the location of participating youth is always known
    • Procedure on positive instruction, supporting positive behavior, discipline, and consequences
    • Training Plan for counselors, faculty, coaches, or volunteers running the camp
    • Protocol for Supervision Ratios

*It is important to ensure that the same Program Name(Case Sensitive) and start date are used from your Program Registration.

Background Checks听All staff and volunteers with direct access to youth in your programing need to complete an annual background check through CU 糖心Vlog破解版. This includes individuals who have completed background checks through other organizations such as but not limited to BVSD, State of Colorado, etc.听These will be initiated with the successful upload of your staff roster.听Please include all staff and volunteers who will be directly interacting with Youth. List their names and emails. A follow up email will be sent to staff and volunteers to complete their background checks.

  • Along with all other mandatory trainings as required by University Policy, Youth Program staff and volunteers must engage in the following trainings;

    To assist Youth Program Staff and Employees carry out their reporting responsibilities and understand their role in protecting Minors, all Youth Program Staff and Employees are required to complete youth protection training aimed at the prevention of Child Abuse and Neglect, the recognition of the signs and symptoms of Child Abuse and Neglect, and applicable reporting requirements and procedures.

  • Specific training requirements are as follows:
    • All Youth Program Staff will receive training related to their obligations under the Youth Protection Policy.
    • All Youth Program Staff and all Employees who qualify as Mandated Reporters per the State of Colorado must complete youth protection training before having direct contact with Minors and on an annual basis thereafter.
    • All Youth Program Staff who are identified as CSA, must take the CSA training.
    • CPR and First Aid
      • All staff members of a Youth Program who are eighteen (18) years of age and older must have current Department-approved First Aid and CPR certificates. Uncertified staff members must work with another certified staff member. For every thirty (30) or fewer children in attendance, there must be at least one (1) staff member who holds a current Department-approved First Aid and CPR certificate for all ages of children. Such individuals must be with the children at all times when the center is in operation. If children are at different locations, there must be a First Aid and CPR qualified staff member at each location.
      • If there is a child attending a youth program who carries an anaphylaxis and epinephrine auto-injector, there must be a trained program staff member in the immediate vicinity (an area in which an individual is physically present and can see, hear, and direct, the activities of the participant) of the youth participants at all times.

Youth Program Staff may not begin work in any Youth Program until documentation of completion has been received, reviewed by the Office of Compliance, Ethics, and Policy.

All Affiliated Youth Programs must have their program reviewed by Risk Management Annually. Once you complete the document upload form, the Risk Management Review will be initiated. All Affiliated Youth Programs must have the following;

  • Camp Insurance
  • Participant Waivers
  • Activity Specific Waivers
  • Vendor's Insurance if using a vendor

If your program does not have camp insurance you can schedule a meeting with Risk Management to discuss purchasing options.

All Affiliated Youth Programs are required to complete the听听within 30 days of the conclusion of the program.

Third-Party Youth Program Registration Process

All Third-Party Youth Programs are required to register their programs. Please follow the registration process outlined below.

All Third-Party youth programs must have a contract or space use agreement with a sponsoring CU Department.

All Third-Party Youth Programs are required to have program insurance with the following minimums;

Event sponsor shall obtain and maintain, at its own expense and for the duration of the contract, the minimum insurance coverages set forth below. By requiring such minimum insurance, the University shall not be deemed or construed to have assessed the risk that may be applicable to the event sponsor under this contract. The event sponsor shall assess its own risks and if it deems appropriate and/or prudent, maintain higher limits and/or broader coverages. The event sponsor, under this agreement, is not relieved of any liability or other obligations assumed or pursuant to the Contract by reason of its failure to obtain or maintain insurance in sufficient amounts, duration, or types. Event sponsor and any persons employed by event sponsor for the performance of work hereunder shall be independent contractors and not agents of the University of Colorado. Event Sponsor shall not cancel or modify such insurance without first providing at least ten (10) business days鈥 advance written notice to the Owner.

Commercial General Liability 鈥 Coverage to include:

  • Each Occurrence Limit $1,000,000
  • Damage to Premises Rented to you $1,000,000
  • Personal/Advertising Injury $1,000,000
  • Sexual Abuse or Molestation $1,000,000
  • General Aggregate $2,000,000

Workers Compensation (not applicable if Vendor/subcontractor is exempt under Colorado Workers鈥 Compensation Act)

Coverage A (Workers鈥 Compensation)听

  • Statutory

Coverage B (Employers Liability)听

  • $100,000 Each Accident
  • $100,000 Disease Each Employee
  • $500,000 Disease Policy Limit

Additional Insurance Requirements

  1. All insurers must be licensed or approved to do business within the State of Colorado and should possess a minimum A.M. Best鈥檚 Insurance Guide rating that is acceptable to the University of Colorado, and unless otherwise specified, all policies must be written on a per occurrence basis.
  2. The Event Sponsor shall provide the University of Colorado a Certificate of Insurance evidencing all required coverages, before commencing work or entering University of Colorado premises. The certificate holder shall be The Regents of the University of Colorado, a body corporate, 1800 Grant St. Suite 700, Denver, CO 80203. Copies of COI鈥檚 will be provided when requested.
  3. The Event Sponsor shall name 鈥淭he Regents of the University of Colorado, a body corporate鈥 as an Additional Insured as respects the general liability policy.
  4. Waiver of subrogation in favor of the University of Colorado must apply as respects to the Worker鈥檚 Compensation policy.
  5. Upon request by the University of Colorado, Event Sponsor must provide a copy of the actual insurance policy and/or required endorsements affecting coverage(s) required by the Contract.
  6. The University of Colorado requires that all policies of insurance be written on a primary basis, non-contributory with any other insurance coverages and/or self-insurance carried by the University of Colorado.
  7. A separation of insureds clause must be included in general liability policies.
  8. Event Sponsor shall notify the University of Colorado of any cancellation, or reduction in coverage or limits of any insurance within seven (7) days or receipt of insurer鈥檚 notification to that effect.
  9. The Contractor agrees that the insurance requirements specified in the contract do not reduce the liability Event Sponsor has assumed in the indemnification/hold harmless section of the Contract.
  10. Failure of the Event Sponsor to fully comply with these requirements during the term of the Contract may be considered a material breach of contract and may be cause for immediate termination of the Contract at the option of the University of Colorado. The University of Colorado reserves the right to negotiate additional specific insurance requirements at the time of the contract award.
  11. The parties hereto understand and agree that The University of Colorado is relying on, and does not waive or intend to waive by any provision of this Contract, the monetary limitations or any other rights, immunities, and protections provided by the Colorado Governmental Immunity Act, 24-10-101 et seq., as from time to time amended, or otherwise available to the University or its officers, employees, agents, and volunteers.
  12. The University and Event Sponsor shall cooperate with each other in the collection of any insurance proceeds which may be payable in the event of any loss, including the execution and delivery of any proof of loss or other actions required to affect recovery.

All Third-Party Youth Programs must complete the听. The form will ask for basic program details needed for the Risk Management and Youth Protection Review. A follow up email will be sent to the program admins requesting the following items;

1. Your programs insurance, including SAM insurance.

2. Vendor's Documents if applicable.

3. The contract or space use agreement that you have completed with your CU 糖心Vlog破解版 Sponsoring Department.
